WP1 - Project Management and Coordination

The Lead Partner (Autonomous Province of Trento) takes responsibility for management, internal communication, implementation and co-ordination of activities among the partners involved, including full administrative and financial responsibility (WP1). In particular, Work Package 1 concerns activities for guaranteeing sound and efficient achievement of project results from the beginning to the end of the project. It involves the day to day activities necessary for implementation of the programme, such as daily management, coordination meetings and monitoring of the project. In order to successfully reach its objectives, a project must be managed and coordinated efficiently and reliably. The project coordination must not only ensure the implementation of the planned tasks but also ensure clear division of tasks between the partners, efficient operational management, set up of a financial system, certification of expenditure by authorised first level controllers at national levels as well as tools to monitor project performance.

Four predefined and compulsory actions related to this work package are defined below:
action 1: fulfilment of start up requirement;
action 2: day to day project management, coordination, and internal communication;
action 3: steering and monitoring of the project implementation;
action 4: financial management,      preparation    of     necessary   documentation    in   view of the certification of expenditure

The management structure is as follows:
> The Steering Committee is the general decision-making body of the project, in charge of keeping track of all the project components, involving all partner representatives. It will be responsible for coordination, management and administrative aspects. The steering committee is made up of two representatives for each partner and meets every six months;
> The Core Group is responsible for monitoring and evaluation of the implementation of activities and output. Moreover, it verifies the compliance of project activities with programme requirements, the project schedule and indicators. It is made up of two experts from each partner and meets every four months;
> Local Guide Groups are made up of local stakeholder representatives and will collaborate during the implementation of pilot projects included within a jointly organised transnational work programme. In this sense, they will be the direct voice of the areas. The Local Guide Groups guarantee the sustainability of results and output once the project ends and will promote the actions and activities to be proposed to the “Vital Villages” Association. They meet every four months during the first 2 years, and every six months thereafter
